We are looking to recruit a friendly, motivated, and hard-working person to join our expanding HR Services team.

The HR Administrator role will form an integral part of an established but developing team and will provide an exciting and interesting role for someone who wants to join a fast moving, progressive organisation.

The successful candidate will conduct comprehensive HR administrative assistance to
stakeholders, typically dealing with generalist HR work in respect of the employment cycle and will be pivotal in helping the team succeed.

As a HR administrator, the role holder is required to demonstrate excellent customer service skills and ability to work on their own. The post holder will be required to conduct all processes related to the onboarding of the sessional tutors, including Right to Work checks, issuing contracts, amendments.

The role will be based at the University of Warwick central campus. There will be a requirement and expectation to attend the office 4-5 days per week during your initial introduction and training period. Flexible hybrid home working options will be available following your successful progress.

Job Description

JOB PURPOSE

To provide an effective and efficient Sessional Teaching Payroll service as part of the HR Shared Services.

To support the day-to-day administration with respect to a broad range of aspects from the lifecycle of sessional tutors and graduate teaching assistants including on-boarding, contract issuing, changes and leaving the payroll. To provide excellent customer service to both internal and external customers, acting as the first point of contact for any Sessional Teaching Payroll administration and transactional issues.


DUTIES & RESPONSIBILITIES

1. Produce timely and accurate contracts for sessional tutors and graduate teaching assistants, ensuring that they comply with the teaching frameworks and any other rules or legislation that may be applicable to individuals as well as any changes to the contract.

2. Provide relevant information to new starters regarding the on-boarding process and how to arrange IT access, staff card and how to submit timesheets.

3. Act as a point of contact for email, telephone and face-to-face enquiries for both internal and external stakeholders.

4. Decide whether it is appropriate to deal with an incoming query or whether this should be referred to a supervisor/ HR Adviser.

5. To maintain a good working relationship with academic departments by supporting with queries in terms of setting up contracts, amendments and other payroll related processes.

6. To administrate the process of entering new starter information on the HR systems.

7. To act as a Quality Assurance for inputting information on the system at peak times when the team expands.

8. To check and divide new contract requests to the inputting team as per agreement with the Supervisors and Senior HR administrator.

9. To liaise with the Senior HR administrator and support with the pre-payroll processes by running accurate reports to ensure the data is correct on the HR systems.

10. To undertake any other duties and responsibilities commensurate with the grade.


The Sessional Teaching Payroll team is responsible for processing in excess of 100,000 payments annually.

All sessional teaching staff are paid in accordance with internal and external auditors' requirements, government legislation, the University's Financial Regulations and industry best practice
