About the role

  • This role may in part be suitable for remote working. The role holder will be expected to work a minimum of 20% of their time on campus (Tuesdays). The pattern of on-campus and remote working will be agreed with the role holder.
  • Contribute to the production of monthly and quarterly management reports. This will include assisting with the prepayment schedules, accrued income and the investigation and reporting material variances.
  • Meet regularly with the Finance Manager to provide financial information to discuss/assist in senior management decisions and to undertake duties corresponding with the skills and responsibilities of the post as required.
  • Responsible for the approval of purchase orders, interdepartmental transfers and journals for the team
  • Liaise with suppliers and other internal and external stakeholders for all the aspects of the procurement process.
  • Ensuring invoices are processed and paid in a timely manner.
  • Providing support and cover for the Finance Assistants in the processing of book invoices for payment, and administrative duties.
  • Reviewing and reconciling transactions to ensure that all are accounted for correctly.
  • Responsible for training library staff in the use of UCL’s finance system.
  • Update procedures and other finance documents on the Library Finance web pages.
  • Monitor the Library Finance group email address to ensure that emails are responded to in a timely manner.
  • Provide an efficient medium between staff and Central Finance Services, especially in relation with income queries.

  • To carry out any other duties as are within the scope, spirit and purpose of the job as requested by the by the line manager, Head of Finance for LCCOS, other senior staff acting as Duty Officer or the Director of UCL LCCOS.

About you

  • Educated to A Level (Minimum of 2 at grade C or above), or equivalent.
  • Experience of working in a Finance administration role, using a large finance system.
  • Experience with using Microsoft Office, in particular Excel and Outlook, with a willingness to learn about and use new software.
  • Experience in preparing monthly/quarterly/annual accounts.

Salary

The post is graded as UCL Grade 6 with salary in the range £32,331 - £37,548 per annum (include pro-rata for Part time) including London Allowance.

Probation

Appointments are subject to a probationary period of 6 months.

Annual leave

Annual leave is 27 working days for a full-time member of staff and 6 UCL closure days in addition to 8 Bank Holidays.

Pension

Appointments are superannuable under the Universities Superannuation Scheme(USS).
