What to expect

Thorntons is one of the largest law firms in Scotland and our estate currently includes 13 offices spread across Tayside, Angus, Fife, Perth, Glasgow and Edinburgh. Our Office & Estates team are vital to our successful business operations, supporting the functionality, safety and sustainability of our buildings, offices and infrastructure.

We are recruiting an Administration Assistant to join the team in Dundee on a fixed term contract for 12 months. The scope of this role includes:

  • Assisting with instructing external contractors in relation to routine maintenance, minor repairs, removals/collections etc.
  • Processing invoices – checking delivery timings, coding to correct accounts and monitoring expenditure and any related queries
  • Data processing and management – assisting with updating records, systems and setting up new processes to support team requirements
  • Ordering of stationery and other office-related items as required
  • Assisting with fleet management administration
  • Assisting with site visits to other offices to perform compliance checks and assist with other issues as required
  • Assisting colleagues and third parties with relevant queries
  • Other more general administrative duties as required

What we’re looking for

  • Strong administrative skills
  • Previous experience working in a Facilities team would be ideal but is not essential
  • A keen interest in Facilities related work
  • Excellent communication skills
  • Good IT skills
  • Enthusiasm and a positive approach
  • Flexibility & Adaptability
  • Good organisational skills
  • Ability to prioritise and work to deadlines
  • Attention to detail
  • Ability to work independently and as part of a team
