Private Events Manager

Located in the heart of Mayfair, The Arts Club is one of London’s oldest private members’ clubs – celebrating its’ 160 anniversary this year – and home to a community of members with a passion for the creative arts, literature, and business. From distinguished art exhibitions to fine dining, live music, and an exceptional programme of events for members, the club remains at the heart of contemporary cultural life in London.

We are currently looking for a Private Events Manager to lead the Private Events Team to deliver on key financial/budget metrics with a structured and organised approach while managing the enquiries and event planning process.

Successful applicants will become part of a fun, dynamic team who work closely with the operations teams who bring The Arts Club to life on the daily basis.

About the role:


The Private Events Manager will be responsible for the development of member / client relationships in order to drive Private Event’s revenue through offering immaculate customer service, tailored events organisation and expertise for members / private clients and brands, as well as liaising with the Head of Departments and co-ordinating events to maximise business in the rooms of the Club.

In a nutshell:

  • Maintain and promote strong team work environment and spirit with effective and clear communication amongst colleagues, and be a leading example as a Head of Department
  • Work closely with Head of F&B Operations and Director of Operations to create and maintain sales processes, identify revenue opportunities and develop strategies to grow the business
  • Ensure best standard of service is provided to members / clients from first impression, and thereafter through all mediums of communication in the organisation and then to final delivery, always act as ambassadorial role for the club,
  • Work with Brand / Marketing team on brand aligned & high-profile brand elevating opportunities and ensure pull through of sales & marketing plan by effective implementation.
  • Chair meetings & events forecast for the Executive Management team and regularly pull data to analyse performance and trend shifts.
  • Continually review, monitor and update event pricing strategy to ensure maximum opportunity to convert business (market research & competitive analysis)
  • Ensure event contracts are checked, signed and returned for all bookings and payment procedures are accurately being followed against Accounts SOP.
  • Attend weekly and monthly financial meetings relating to accounts receivable, ensuring correct reporting is being delivered to support accurate accounting procedures.
  • Managing departmental P&L, ensuring commission invoices, outside services invoices are being processed by following the procurement process.
  • Work with DOO, Head of F&B Operations and other HODs on product development, new offerings, new format, menu maintenance and accuracy.
  • Leads reactive sales functions to build sales funnel and develop long-term, value-based guest relationships that enable achievement of the club’s sales objectives.
  • Create annual targets for events team and review, submit monthly results.
  • Identify potential business development opportunities and follow up.
  • Maintain strong relationships with supporting suppliers to optimise on deliverables, ensure prices are preferred and maintain club reputation.
  • Follow up on client feedback after the event in a timely manner ensuring any negative feedback is effectively handled.

About you:

  • Enthusiastic, dedicated, resilient, goal-oriented and effective decision-maker
  • At least 5 years relevant experience within Event Management or similar role
  • Have a proven track record in achieving sales targets and KPIs
  • Excellent sales and client relationship building skills
  • Excellent organisation and event operations skills with ability to effectively prioritise and multi-task with a can-do attitude and an eye for details
  • Have a desire to provide excellent service and create memorable event experience
  • The ability to work well under pressure and always remain professionalism
  • Excellent communication skills (written, listening, verbal - multilingual is a bonus)
  • Expert at building relationships and sound analytics
