Purpose of the role:

To be ensure that an efficient and cost effective, building and office equipment, maintenance service is provided.

To set up meeting rooms and supply the relevant equipment required.

Responsibilities

Key responsibilities include, but are not limited to:

Daily tasks

· Liaise with contractors to make sure maintenance contracts are being carried out.

· Supervise and manage the cleaning contract and cleaners, deal with cleaning complaints.

· Responsible for all first aid supplies and keeping first aid kits up to date.

· Joint building health and safety officer.

· Daily checks to make sure the building has fire risk assessments and all paper work for these are up to date. Checking fire equipment, exits, exit signs and emergency lighting.

· Responsible of setting up meeting rooms, including setting up the projectors, flip charts, power extensions and any other requests.

· Responsible for staff ID and security passes.

· Responding to any maintenance issue and getting the issue resolved.

· Responsible for pest control contract and make sure inspections are carried. Daily monitoring.

· Responsible for Chubb intruder alarm contract and servicing. On Chubb’s 24hr call out list. Four contract visits per year.

· Responsible for all fire safety records, keep up to date fire log book involving, emergency lighting tests, fire door checks, fire extinguisher checks, break to open glass, magnetic door holders, fire alarm detectors, fire activations, fire drills. Some testing is done by the landlord and some (in our areas) is done by us. Everything has to be logged in our fire book and all records are constantly updated. Checks on fire doors, fire escapes, emergency lighting indicators are carried out daily.

· Dealing with all building/facilities related issues that may arise.

Other tasks/monthly/yearly/when needed.

· Responsible for all confidential shredding, managing the contract bins are emptied twice a week, liaise with shredding contracts on a weekly basis.

· Organising pricing for any building works.

· Organise, order, keep stock of office furniture, desk keys, chairs.

· Supervise the satisfactory completion of any building works and supervise the completion of works.

· Organising pricing for office moves and extra work stations, liaise with suppliers, installation of new power and data cable runs and supervise the completion of the works.

· Liaise with suppliers for all goods needed.

· Ordering materials and supplies as and when needed.

· Involvement in planning our/my budget and track spend on my budgeted items. Budget is yearly track spend is constant.

· Occasionally help with the disaster planning.

· Making sure we have the correct number of first aiders and organising first aid at work courses and refreshers.

· Organising fire marshal training and being a fire marshal.

· Arranging 2 yearly PAT testing and making sure the PAT testing is being done to our requirements and finding the best price.

· Arranging the five yearly electrical testing and shut down for our floors. The test is every 5 years, and takes about 6 months before due date to organise total building power shut down.

· The organising of redecorating of the offices as required. The decoration is checked constantly and meeting rooms and reception are painted about 4/8 times a year although more frequently if needed.

· Responsible for the alarm system, reporting faults, monitoring and issuing alarm fobs to staff and keeping records.

· Regular meetings with the building managers to make sure public areas are up to standard and that we are getting value for money as tenants.

· Maintain regulations and building certificates.

· Making sure the building is a safe and secure environment.

· Responsible for all compliances and keep up to date records.

· Arrange contracts for all kitchen equipment, servicing and maintenance. Equipment and deep clean carried out 3 time per year. Equipment constantly monitored.

· Responsible for ISDN conference call contract and cards.

· Responsible for the air conditioning, servicing, reporting faults and breakdowns for CR1 & CR2 and air conditioning in all server rooms and print/post rooms.

· Coffee machine contracts, faults and callouts.

· Responsible for fire extinguisher repairs and servicing contract. This is done once a year. Seals are checked and faults reported.

· Resetting any equipment/plant after fire alarms.
