As HR Administrator you will be the first point of contact for all queries relating to store Associate data (access to Storeforce, SAGE, Epay or email). You will be responsible for the first response, acknowledgement and escalating to the relevant Associates in the HR Team or wider business when applicable.

This role is the first point of contact the Associate has with the business and requires strong, proactive communication skills. Furthermore, this role involves data entry, processing and ensuring personal information is accurate and compliant with UK Legislation. You will be keying into SAGE all key associate information daily ensuring accuracy and reviewing employment changes such as adding new starters, removing leavers and pay reviews.

The role will work in partnership with the Senior HR Administrator, HR Officer and Finance & Operations teams to assist with any data entries in Storeforce and SAGE and you will report into the Senior HR Manager.

Working hours for this role will be: 30 hours/Week (6 hours/day)

Monday to Friday being Wednesday office day

Accountabilities

HR Administration

1. Data entry in My BABW Hub (SAGE)

  • Daily input onto SAGE system: starters, leavers, transfers and promotions.
  • Approving and finalising promotion, pay, changes, transfer, misc.
  • Data updates in SAGE e.g. Annual review, age related changes and review of Associate.
  • Responding to all New hire and Leaver queries (information in Storeforce and SAGE)
  • Creating and updating New hire and Leaver templates in SAGE (Send out new hire email via SAGE).

2. Onboarding

  • Issuing all contract change documentation (New starter contracts, transfers, promotions and demotions) and review of new hire documentation (handbook, policy and BABW packs) in My BABW Hub in a timely manner.
  • Management and maintenance of employee’s electronic files, paper (all to move to electronic)
  • Ensure all Associate information in SAGE is up to date and compliant (scheduling VISA restrictions or passport expiry dates).
  • Full ownership of all HR filing ensuring all data is stored GDPR compliant.
  • Responding to all reference requests in a timely manner for current and former employees.
  • Ensure all Associates have a probation review set up and reviews are completed.
  • Monthly review of Probation reviews and Associate changes
  • Manage employee documentation compliance which includes; right to work documentation, policy documents acknowledgement and handbooks acknowledgments

3. Off boarding

  • Termination of all associates in timely manner
  • Flagging any adjustment ahead of payroll processing deadlines
  • Issuing and review of exit interviews

4. Reporting

  • Review Storeforce reports to flag up absences, overrides, holiday accruals and sickness and raise with DMs
  • Responsible and manage the monthly absence process; logging, tracking and obtaining medical documentation and upload into SAGE payroll database.

o Check each Associate has uploaded the relevant documentation and partner with HR Officer and DM on next steps

o Flag any irregular absence from data gathered from the Storeforce date eg stat reporting or an increase in Jury service claims

5. GDPR and Payroll Compliance

  • Manage all data shared by stores and ensure all documents are filed in a timely manner
  • Manage all leaver data from stores (leaver files to be uploaded and kept in line with the retention policy on the shared file
  • Managing monthly National Minimum Wage age-related pay changes.
  • Processing of tax and employment changes
  • Ensure activpayroll access and data are up to date according to the retention policy
  • Manage GDPR training for starters and leavers

Other

  • General HR administration.
  • Participation in HR project work, continuous system update and review
  • All other duties as reasonable requested by the SHRM.
